Position Summary

The Intake & Tenant Support Navigator provides leadership and coordination for the operational and housing functions of WINGS’ Second-Stage Shelter program.

The Intake & Tenant Support Navigator ensures families transition smoothly into and out of shelter units, coordinates crisis calls and intake processes, strengthens shelter partner collaborations, and maintains unit readiness. This role plays a critical function in stabilizing families by ensuring structured, safety-focused housing operations while supporting internal coordination and community partnerships.

Key Responsibilities

Crisis Calls, Intake & Shelter Partner Collaboration

• Respond to and support crisis calls, assessing eligibility and immediate safety concerns.

• Coordinate intake process in collaboration with Case Managers.

• Conduct preliminary intake screenings and gather required documentation.

• Liaise with referring agencies, emergency shelters, and community partners to coordinate transitions.

• Maintain strong collaborative relationships with family violence shelters, outreach programs, and community referral partners.

• Participate in coordinated access discussions where applicable.

• Support safety planning conversations during intake and transition stages.

Intake & Move-In Coordination

• Lead unit assignment process in collaboration with Case Managers.

• Prepare unit documentation and orientation materials.

• Conduct housing orientation with new residents (unit walkthrough, safety protocols, emergency procedures, program expectations).

• Ensure completion of housing agreements and required program documentation.

• Coordinate key distribution and move-in scheduling.

• Lead move-out process including inspection, documentation, and transition coordination.

Unit Turnover, Cleaning & Preparation

• Oversee and coordinate unit cleaning between residents.

• Prepare units for occupancy including:

o Bed setup

o Kitchen essentials

o Household starter kits

o Basic furnishings and linens

• Shop for/ order required supplies to prepare units for new residents.

• Maintain organized inventory of unit setup materials.

• Conduct pre-occupancy safety and cleanliness checks.

• Report maintenance concerns promptly to facilities team.

Internal Service Coordination

• Collaborate with the Donor Liaison to distribute donated household items equitably.

• Work with the Office Manager to monitor supply levels and purchasing needs.

• Maintain tracking systems for household goods and supply distribution.

• Coordinate property inspections, repairs, and maintenance access to the buildings and with tenants.

• Complete regular unit inspections in accordance to organization policies

• Ensure residents have access to:

o Household supplies

o Hygiene products

o Children’s items

o Safety-related materials

• Identify supply gaps and communicate needs proactively.

• Respond to and access immediate building maintenance issues, and coordinate with Front Desk for repairs.

• Other duties as required.

Program & Community Support

• Reinforce second-stage housing expectations and program structure.

• Support residents in understanding shared living expectations and safety procedures.

• Work with Case Managers to support residents’ goals related to housing stability and successful tenancy.

• Participate in case conferencing to ensure coordinated care as required.

• Represent WINGS professionally in external collaboration meetings when required.

• Provide back-up support to Office Manager as required.

Documentation, Reporting & Administration

• Maintain accurate intake, housing, and unit turnover records.

• Track occupancy readiness timelines.

• Monitor food and supply inventory and submit purchasing documentation.

• Accurately track expenses and ensure alignment with budget.

• Contribute to reporting requirements related to occupancy, food access, intake volume, and partner referrals.

• Maintain accurate data entry in WINGS’ client database and reporting systems.

• Participate in team meetings and operational planning sessions.

Qualifications

• Diploma or degree in Human Services, Social Work, Community Support, or related field preferred.

• 3–5 years experience in family violence services, shelter operations, transitional housing, or related environments.

• Previous supervisory or team lead experience an asset.

• Experience responding to crisis calls and coordinating intake processes.

• Strong knowledge of trauma-informed and safety-focused environments.

• Experience with database systems, client documentation, and program reporting (e.g., shelter data systems, case management software, Excel tracking).

• Strong organizational and logistical coordination skills.

• Ability to manage competing priorities in a fast-paced environment.

• Strong communication and conflict resolution skills.
